How to work with us
- 2024 Booking Procedures -

For any reservation enquiries, please email the Arno Travel Designer Team via info@arnotravel.it.

Our office hours are Monday to Friday from 9:00 am to 6:00 pm. We also have staff on hand to assist in-house guests on Saturdays and Sundays should any emergency arise.

Arno Travel is a Destination Management Company, offering services from premium to ultra-luxe. We can take care of entire itineraries from A to Z, all around Italy, even helping with bookings at 5-star and 4-star premium hotels should you wish to avail of our assistance. We can take care of the tour and transport arrangements or luxury services such as Ferrari drives, private yachts, private jets and villa rentals.

At time of request, Travel Advisors should express their preferences regarding how they would like to receive net rates or even discuss an alternative commission percentage. Please also share as many details as you can about your clients and their itinerary, including the available budget for the Italy portion of the trip.

We will then produce a proposal with service details and prices, complete with a breakdown of costs and services. All rates are shown in euro and all services described are subject to availability. Unless specified, all rates are to be considered as gross.

Booking Information

  • Prices shown refer to the full itinerary thus if only some of the services end up being booked separately, please be aware that rates of the services booked may change.
  • Please kindly note that we cannot book accommodation only – as a DMC, we are happy to help you book hotels, villas and apartments as part of an itinerary that includes ground services.
  • Arno Travel will gladly revise the quote and apply some changes to the initial proposal, however, after the third revision of the itinerary we may ask for the client’s commitment by way of a 30% deposit.
  • We can book tickets for special events and concerts when they are part of an itinerary including at least ground services – please note, these services are not commissionable and a handling fee will be applied.

Commissions

Commissions to Travel Advisors will be paid on a monthly basis through Onyx, by the end of the month following the travel period. Please make sure to double-check your IATA number stated in the booking confirmation.

2024 Arno Travel Terms & Conditions

Confirmation and payments

A 30% non-refundable downpayment is required to secure and confirm the booking. No hotels or services can be booked until this confirmation deposit has been paid.

All services and itineraries should be fully paid by 30 days prior to arrival.

Payments can be made via credit card, using a secure Stripe link (American Express, Visa or MasterCard) or by wire transfer. All charges are in euro. We do not charge any credit card fees. The cardholder’s bank may apply an exchange rate fee, in accordance with the bank’s own policy.

Cancellation Policy

Should the client wish to cancel the entire booking or part of the confirmed services, Arno Travel will apply the below penalties, in addition to any non-refundable costs incurred upon cancellation of the requested services:

  • 30% of the total amount if the cancellation is communicated to the Tour Operator from confirmation with deposit up to 30 days prior to the first service provided, by 6:00 pm local time.
  • 50% of the total amount if the cancellation is communicated to the Tour Operator up to 15 days prior to the first service provided, by 6:00 pm local time.
  • 100% within 14 days (Italian time) from the first service provided, by 6:00 pm local time.

Hotel cancellation policy:

Unless otherwise specified, no penalties apply for hotel cancellations up to 7 days prior to the arrival date, communicated by 6:00 pm local time, except a 200 euro management fee that will be charged for any hotel cancellations.

A 100% cancellation penalty will be applied for cancellations received less than 7 days before the arrival date, communicated by 6:00 pm local time.

The cancellation policy for villas, apartments and event venues shall be provided together with the quote.

All cancellations must be communicated in writing.

Itinerary Changes

Any change to a confirmed itinerary, after deposit has been paid, is subject to availability. Any non- refundable costs incurred, such as museum tickets etc., will be charged.

Starting from 30 days prior to the arrival date a 100 euro revision fee will be applied for any change to the confirmed itinerary, being subject to availability and in addition to any non-refundable costs incurred, such as museum tickets etc.

Starting from 7 days prior to the arrival date and throughout the stay, a 200 euro revision fee shall be charged for changes to itineraries, dates or times, being subject to availability and in addition to any non-refundable costs incurred, such as museum tickets etc.

All changes must be communicated in writing.

Liability

All parties must review all details of the travel documents (Booking Confirmation) upon receipt and agree to contact Arno Travel within 72 hours regarding any questions or concerns. Failure to notify Arno Travel shall constitute a waiver of any future claim regarding the accuracy of the travel documents.

In any case, even once the itinerary is confirmed, we reserve the right to make any changes to the itinerary due, for example, to unforeseen circumstances.

Restaurant Reservations

On a complimentary basis, Arno Travel is happy to take care of restaurant reservations for guests who have booked full itineraries.

This provision can be provided up to 30 days prior to the first service booked with us.Please note that for Michelin-starred restaurants or any other eatery requiring a credit card as a guarantee to confirm a booking, guests will have to provide their credit card number, email address, cell phone number and billing address. The specific Cancellation Policies will be advised prior to booking. We shall not be held liable for any unsatisfactory experiences that occur regarding reservations (including a restaurant’s failure to honor the reservation made), table location or quality of the food or service, as these are third-party establishments and not part of the services extended by Arno Travel.

Late Arrivals

Clients who miss their transfer or whose flights do not arrive at the scheduled time will need to call our emergency number ahead of time so that we can try to reschedule the transfer. Every attempt will be made to modify the time of the transfer, however, in some cases it may be necessary to book a new driver, subject to availability. If so, an additional fee will be charged.

If clients miss their scheduled transfer for any reason not ascribable to Arno Travel, the transfer is not refundable. Please note that in the event of late flight arrival or extra time needed to reclaim luggage, an additional fee will be applied.

Refunds

No refund shall be issued for unused portions of a booked trip nor for cancellations made after the trip has begun or for early departures for any reason.

Travel Insurance

Arno Travel strongly recommends that trip cancellation/interruption insurance be purchased to protect guests’ valuable travel investment.

Important Information

It is important that the Travel Agent communicates with Arno Travel, at time of initial request, regarding any special requirements the client may have – be it special needs, dietary restrictions, particular interests or any other significant information that could help Arno Travel do better for the guests. It is also vital to communicate the number of pieces of luggage or additional sports equipment the client plans on bringing. On smaller planes and helicopters, for example, oversized or heavy baggage may not be allowed on the flight for safety reasons.

In-House Guests Assistance

For any emergencies to occur during the stay, Arno Travel will provide 24/7 assistance to In-house Guests. Emergency number guidelines shall be provided in the final documentation.
